Adding Content

Step-by-step guide to adding information to your Knowledge Base.

Three Ways to Add Content

1. Manual Text Entry

Best for: Specific facts, policies, hours, pricing

Steps:

1. Go to Knowledge in the sidebar

2. Click Add Knowledge

3. Select the text input area

4. Type or paste your content

5. Click Add

Example:

Breakfast Information:
- Location: Ground floor restaurant
- Weekdays: 7:00 AM - 10:00 AM
- Weekends: 7:30 AM - 11:00 AM
- Price: 195 DKK per person
- Free for half-board guests

Tips:

• Use clear, concise language

• Include specific details (times, prices, locations)

• Format with bullet points for easy reading

2. Website URL Scraping

Best for: Existing content on your website

Steps:

1. Go to Knowledge in the sidebar

2. Click Add Knowledge

3. Enter a webpage URL

4. Click Fetch

5. Opally extracts the text content

Good pages to scrape:

• About page

• Amenities and facilities

• FAQ pages

• Restaurant menus (if text-based)

• Policies (cancellation, pets, etc.)

Tips:

• Scrape one page at a time

• Verify the extracted content is accurate

• Delete and re-scrape if content changes

3. PDF Upload

Best for: Documents you already have

Steps:

1. Go to Knowledge in the sidebar

2. Click Add Knowledge

3. Click Select PDF

4. Choose your file

5. Opally extracts the text

Good documents to upload:

• Information packets

• Menus (text-based PDFs)

• Policy documents

• Rate sheets

• Local area guides

Limitations:

• Works best with text-based PDFs

• Scanned images may not extract well

• Large files may take longer to process

Using Weekly Sources

For content that changes regularly:

1. Go to Knowledge > Weekly Sources tab

2. Enter a URL in the input field

3. Click Add

4. Opally automatically re-scrapes this URL every week

Managing sources:

• Toggle the switch to enable/disable scraping for each source

• View when each source was last scraped

• Delete sources you no longer need

Good for:

• Events pages

• Special offers

• Seasonal information

• Restaurant menus

Using Sitemaps

Import multiple pages at once:

1. Go to Knowledge > Files tab

2. Scroll to the Sitemap section

3. Enter your sitemap URL (e.g., https://yourhotel.com/sitemap.xml)

4. Click Fetch

5. Opally imports all URLs from the sitemap

The sitemap URLs help Opally understand your website structure.

Viewing Your Content

Overview Tab

See all knowledge items with:

• Content preview

• Source type

• Date added

• Actions (view full content, delete)

Deleting Content

Single item: Click the trash icon

All from one source: Click "Delete by source" to remove all items from a specific source (e.g., all PDFs)

What Happens Next

After adding content:

1. Opally indexes the information

2. AI uses it when generating responses

3. Guests get accurate, specific answers

The more relevant content you add, the better Opally's responses become.
