Email Integration
Connecting your email is the foundation of Opally. Once connected, Opally can read incoming guest emails and create draft replies for you to review and send.
Choose Your Email Provider
Opally supports two email providers:
Gmail
Google Workspace users
Outlook
Microsoft 365 / Office 365 users
Note: You can only connect one email provider per Opally account.
Gmail Setup
Gmail setup is straightforward and takes about 2 minutes.
Step 1: Click "Gmail" in Opally
During onboarding (or from Integrations in the sidebar), click the Gmail button.
Step 2: Sign in to Google
You'll be redirected to Google. Sign in with the email account you want Opally to manage.
Tip: Use your hotel's shared inbox (e.g., reception@yourhotel.com) rather than your personal email.
Step 3: Grant Permissions
Google will show you what Opally is requesting. Click Allow to grant these permissions:
Read your email
To see incoming guest messages
Compose and modify drafts
To create reply drafts in your inbox
Manage labels
To organize processed emails
Step 4: Return to Opally
After clicking Allow, you'll be redirected back to Opally with a success message. Your Gmail is now connected!
What Happens Next
When a new email arrives, Opally receives a notification
Opally reads the email and generates a draft reply
The draft appears in your Gmail Drafts folder
You review, edit if needed, and hit Send
Outlook Setup
Outlook setup works similarly to Gmail, but may require an extra step if your organization has security policies.
Step 1: Click "Outlook" in Opally
During onboarding (or from Integrations in the sidebar), click the Outlook button.
Step 2: Sign in to Microsoft
You'll be redirected to Microsoft. Sign in with your work email account.
Step 3: Grant Permissions
Microsoft will show you what Opally is requesting. Click Accept to grant these permissions:
Read and write your mail
To see incoming emails and create drafts
Read and write shared mailboxes
To work with shared team inboxes
Manage mailbox settings
To create email categories for organization
Step 4: Return to Opally
After accepting, you'll be redirected back to Opally. Your Outlook is now connected!
Troubleshooting
"Admin approval required" (Outlook)
If you see this message when trying to connect Outlook, your organization requires IT admin approval before third-party apps can access email.
What to do:
Contact your IT administrator
Share the IT Admin Setup Guide below with them
Once approved, try connecting again
"Connection failed" error
If the connection fails:
Make sure you're signed into the correct email account
Check that pop-up blockers aren't preventing the redirect
Try using a different browser (Chrome or Edge recommended)
Clear your browser cookies and try again
IT Admin Setup (Outlook)
This section is for IT administrators who need to grant organization-wide consent for Opally.
If your organization uses Microsoft 365 with security policies that require admin consent for third-party apps, follow these steps.
Why Admin Consent is Needed
Microsoft 365 organizations can configure policies that prevent users from consenting to apps that access organizational data. This is a security feature. When enabled, an administrator must grant consent on behalf of the organization.
Option 1: Grant Consent for Specific Users
If you only want to approve Opally for specific users:
Go to Azure Portal > Microsoft Entra ID > Enterprise applications
Search for "Opally" in the application list
Select the Opally application
Go to Permissions > Grant admin consent
Review the permissions and click Accept
Users who were previously blocked can now connect their accounts.
Option 2: Grant Organization-Wide Consent
To allow all users in your organization to use Opally:
Have a user start the connection flow in Opally (they'll see the "admin approval required" screen)
As a Global Administrator, visit:
Sign in with your admin account
Review the permissions and click Accept
All users can now connect without additional approval
Option 3: Pre-Approve via Azure Portal
To proactively approve Opally before users request it:
Go to Azure Portal > Microsoft Entra ID > Enterprise applications
Click New application > Create your own application
Select "Register an application to integrate with Microsoft Entra ID"
Search for the Opally application by Client ID:
[Contact support for Client ID]Grant admin consent for the required permissions
Security Considerations
Opally uses OAuth 2.0 with refresh tokens for secure, ongoing access
All data transmission is encrypted via HTTPS
Opally only accesses mailboxes of users who have explicitly connected their accounts
You can revoke access at any time via Azure Portal > Enterprise applications > Opally > Properties > Delete
Revoking Access
To remove Opally's access for your organization:
Go to Azure Portal > Microsoft Entra ID > Enterprise applications
Search for "Opally"
Select the application
Click Delete to remove organization-wide consent
Individual users can also disconnect from within Opally at any time.
