Overview

The Knowledge Base is Opally's memory. It contains information about your hotel that helps the AI answer guest questions accurately.

Why It Matters

Without a knowledge base, Opally can only give generic responses. With a good knowledge base, it can answer questions like:

  • "What time is breakfast?"

  • "Do you have parking?"

  • "Is the spa open on Sundays?"

  • "What's the check-in time?"

The more information you add, the better Opally's responses become.


The Four Tabs

Overview Tab

View all knowledge items in your database:

  • Content – The actual information stored

  • Source – Where it came from (manual, website, PDF, etc.)

  • Added – When it was added

  • Actions – View full content or delete

You can also delete all items from a specific source at once.

Files Tab

Link to important documents and manage your sitemap:

File Attachments

  • Add URLs to documents (PDFs, menus, rate sheets, etc.)

  • Give each file a display name and description

  • Opally references these when answering questions

Sitemap Import

  • Enter your website's sitemap URL

  • Opally extracts all page URLs from the sitemap

  • These URLs are used for context when answering questions

Weekly Sources Tab

Set up automatic weekly scraping:

  • Add website URLs that change regularly (events page, special offers, etc.)

  • Opally re-scrapes these every week to keep information current

  • Toggle sources on/off and see when each was last scraped

Knowledge Gaps Tab

See what Opally couldn't answer:

  • Questions where Opally didn't have enough information

  • Common themes in unanswered questions

  • Direct links to add missing information

This is a goldmine for improving your knowledge base.


Three Ways to Add Knowledge

Click Add Knowledge to open the dialog with three options:

1. Manual Text

Type or paste information directly:

Best for: Specific facts, policies, hours, pricing

2. Website URL

Enter a page URL and Opally will extract the content:

Opally scrapes the page and stores the text content.

Best for: Existing content on your website (about page, amenities, FAQ)

3. PDF Upload

Upload a PDF document (menus, brochures, rate cards):

  • Opally extracts text from the PDF

  • Works best with text-based PDFs (not scanned images)

  • Maximum file size applies

Best for: Documents you already have (menus, guides, policies)

Best Practices

Do:

  • Be specific – "Breakfast is 7-10 AM" is better than "breakfast is in the morning"

  • Include prices – Guests often ask about costs

  • Update regularly – Especially seasonal information

  • Check Knowledge Gaps – Add information Opally is missing

  • Use your website – If it's on your site, scrape it

Don't:

  • Add contradictory information – Pick one source of truth

  • Include internal notes – Only guest-facing information

  • Forget to update – Outdated info leads to bad responses


Managing Your Knowledge Base

Deleting Items

  • Single item: Click the trash icon next to any item

  • By source: Click "Delete by source" to remove all items from a specific source (e.g., all PDFs)

Keeping Information Current

  1. Set up weekly sources for pages that change often

  2. Review Knowledge Gaps monthly

  3. Re-upload documents when they're updated (delete old version first)
