Learning
Opally can learn from your sent emails to continuously improve how it drafts responses. The Learning feature automatically extracts writing patterns and preferences from emails you send.
How Learning Works
When enabled, Opally:
Monitors sent emails – Watches your sent folder for new emails
Analyzes patterns – Extracts rules about your writing style
Creates rules – Stores patterns as learning rules
Improves drafts – Uses rules when generating future drafts
All learning is automatic and happens in the background.
Enabling Learning
Go to Learning in the sidebar
Toggle Learning from sent emails to on
Opally will create the necessary email subscriptions
Note: You must have an email integration connected (Gmail or Outlook) to enable learning.
The Rules Tab
The Rules tab shows all learned patterns:

Who it applies to (Company or Personal)

How many times this rule has been applied

When the rule was learned
Rule Sources
Manual – Rules you add yourself
Automatic – Rules learned from sent emails
Feedback – Rules created from draft ratings
Rule Scope
Company – Applies to all team members
Personal – Only applies to you
Adding Manual Rules
You can add your own rules:
Type a rule description in the text field
Toggle For all users if it should apply company-wide
Click Add
Example rules:
"Always include the hotel phone number in responses"
"Never use exclamation marks in formal correspondence"
"Always mention free parking when discussing amenities"
Managing Rules
Change Rule Scope
Admins can change whether a rule is personal or company-wide:
Click the Users icon to make it company-wide
Click the User icon to make it personal
Delete Rules
Click the trash icon to delete a rule. Deleted rules will no longer influence drafts.
Merge Similar Rules
If you have multiple similar rules:
Select the rules using checkboxes
Click Merge selected
Rules are combined into one
Clean Up Unused Rules
Click Clean up to remove rules that haven't been used recently.
Analytics Tab (Admin Only)
Admins can view the Analytics tab to see learning effectiveness:
Draft Utilization Score
Measures how much of the AI draft is used when you send:
95%+ – Excellent, drafts are used almost as-is
80-95% – Good, minor edits needed
50-80% – Moderate, significant changes made
Below 50% – Low, drafts need substantial rework
Metrics Tracked
Total Sent
Number of emails sent in period
Average Score
Mean utilization across all emails
Acceptance Rate
Percentage of drafts used
Time to High Utilization
Days until score reached 95%+
Per-User Breakdown
See utilization scores for each team member, including:
Number of emails sent
Accepted draft count
Average score
Trend (improving, stable, or declining)
Best Practices
Do:
Enable learning – Let Opally learn from your actual sending patterns
Add specific rules – Manual rules for important policies work well
Review regularly – Check rules to ensure they're still relevant
Provide feedback – Rate drafts to help Opally learn faster
Don't:
Add contradicting rules – This confuses the AI
Keep outdated rules – Remove rules that no longer apply
Over-specify – Let the AI learn patterns naturally
Privacy
Learning only accesses emails you send, not received emails
Learned rules are stored securely
You can disable learning at any time
Deleting rules removes them permanently
