Booking Automation

Configure how Opally handles automated bookings and PMS actions.

Enabling Automation

  1. Go to Actions in the sidebar

  2. Click Configure to open settings

  3. Ensure your PMS is connected

  4. Enable the actions you want to automate

Available Actions

Create Reservation

Automatically create new bookings when guests request availability.

Modify Reservation

Update existing bookings (dates, room type, guest count).

Cancel Reservation

Process cancellation requests according to your policy.

Check Availability

Query real-time availability from your PMS.

Approval Settings

Choose your approval workflow:

Every action requires your explicit approval before execution.

  • Safest option

  • Full control over all bookings

  • Review each request

Smart Approval

Auto-approve low-risk actions, require approval for others:

  • Auto-approve: Availability checks

  • Require approval: New bookings, modifications, cancellations

Auto-Approve All

All actions execute automatically without approval.

  • Fastest guest experience

  • Requires high confidence in your setup

  • Not recommended for initial setup

Rate Limits

Prevent excessive automated actions:

  • Maximum actions per hour

  • Maximum booking value without approval

  • Blackout dates for automation

Notifications

Get notified about actions:

  • Email alerts for pending approvals

  • Slack notifications (if connected)

  • In-app notifications

Audit Log

All actions are logged with:

  • Action type and details

  • Initiator (email, chat, voice)

  • Approval status and approver

  • Execution result

  • Timestamps

Best Practices

  1. Start with manual approval until you trust the system

  2. Review the audit log regularly

  3. Set appropriate rate limits to prevent issues

  4. Test with low-stakes scenarios first
